COVID-19 Secure Procedures

Creating a safe and fun environment for all children, staff and parents

Covid 19 Safety

The government has updated its guidance on how out of school provisions and holiday clubs should operate through into the autumn as schools re-open and we attempt to get back to normal. We have used this guidance, with the main objective of operating safely, to design our health and safety policy, complete risk assessments and adjust our procedures, which will ensure that everyone is kept safe whilst having a great time, making friends and enjoying camp the way they should. As the situation and the guidance changes, Cascade Camps will always update our policies to be in line with the UK government, the Department for Education and OFSTED.

The safety and welfare of everyone at Cascade Camps is always our top priority. Our friendly and highly experienced staff will ensure every day on camp is packed with smiles, laughs and exciting activities, while simultaneously operating with our robust health and safety measures and COVID-19 policy. Cascade Camps will have a staff member on each camp whose sole responsibility will be to ensure camp is operating under our strict health and safety policy and COVID-19 safety measures.

Cascade Camps will ensure everyone on our camps is safe this summer in the following ways:

  • 1. Contactless Sign In And Sign Out

All sign in and sign out will be contactless and socially distanced. Our senior staff will sign your children in for you each day. All you have to do is show photo ID and let us know who will be collecting your children at the end of the day. If someone other than yourself will be collecting, they will need to show ID and give us your safe word. Social distancing will be strictly managed at all sign in and sign out areas.

Only one parent/carer will be allowed to drop-off and collect, however, other parents/carers are free to wait outside of the venue. Sign in and sign out areas will be operated using a one-way system, as much as is possible. To ensure the sign in and sign out process is as quick as possible, there will be different locations for each age group, which will be clearly sign posted. However, please note it may take slightly longer to sign in/collect than normal.

All bookings must be made online or via the phone in advance and all forms MUST be filled on online. We will not be accepting paper forms and documents in person at this time.

  • 2. Adjusted Programs

Only one "bubble" group will be allowed at each activity area at any one time. We will be holding all activities in the outdoors, unless the weather makes it impossible, in which case we will hold activities in spaces that have several windows and/or doors that can be opened safely.

Due to government guidance, our changing rooms will be closed, which will mean no swimming pools can operate. Children and "bubble" groups will have a dedicated space to themselves where they can leave belongings and change shoes or jumpers.

Cascade Camps has adjusted our activity program and will only use activities which we deem are the safest to operate, meaning we will be running a slightly modified activity program in order to ensure all activities are safe for your children.

  • 3. Multiple Camp Bookings

Due to our effort of keeping children in a consistent "bubble" group, we ask that parents do not make multiple camp bookings during the same week, for the time being. If this is impossible due to availability, we can permit a maximum of two different camps each week. For example, your child might usually take part in Multi-Activity camp one day, Theatre camp the next and Football camp the next. However, we ask that you choose one camp for your child to participate in for the duration of your booking to make it easier for us to maintain "bubble" groups.

  • 4. Reduced Capacities

We will have reduced capacities on all Camps to ensure all the latest social distancing guidelines can be maintained safely.

  • 5. Bubbles of 15 children or less

We will operate with the "bubble" grouping system. Each "bubble" will have no more than 15 children while maintaining our excellent ratios of 1:6 (3-4-year olds) and 1:8 (5-14-year old’s). Our "bubbles" will remain consistent each day and will avoid mixing with other "bubbles".

  • 6. Hygiene & Comprehensive Cleaning Procedures

Every child and staff member will wash their hands/hand sanitize thoroughly when entering camp for the day and also before leaving. Additionally, every child and staff member will wash their hands/hand sanitize before and after each activity. Our group leaders and activity staff will have a checklist and will record each time a group washes their hands/hand sanitizes. Soap/hand sanitizer will be readily available in "Sanitation Stations" and refilled everyday as needed. Several "Sanitation Stations" will be placed around the venue, including at each activity and at each groups "bubble" area. Our staff will also be carrying hand sanitiser with them at all times which will be used before and after each activity.

High touch areas and surfaces such as door handles, toilets, tables and other areas will be cleaned and disinfected every hour. This will be led by the Welfare Manager and timings will be recorded on a checklist. After each activity, the group leader and/or activity leader will also clean/disinfect any equipment and resources that have been used and ensure they are ready for the next group. On arrival to each activity, our group leaders always complete a safety checklist prior to operation. This will continue and the checklist will now include cleaning surfaces/materials with disinfectant.

  • 7. Signage System

Floor signs or tape and stickers will be used for areas where queuing is necessary, such as at sign in/sign out areas, to help ensure families remain 1-2 meters apart. There will be signs posted all around the venue which explain the rules as well as our health and safety procedures and help remind children and staff of what is expected.

  • 8. Personal Protective Equipment

Our staff will always maintain a 1-2-meter social distance from parents during sign in and sign out times. During the day all of our staff have the option to wear face masks. In case of emergency or intimate care, including first aid, our staff will have access to disposable aprons, masks and gloves which they will be required to wear.

  • 9. Covid Clear Camps

In order to create the safest possible environment for all of our children, we ask each parent/carer to take responsibility and ensure that your children do not attend camp if they have COVID-19 and/or are displaying any symptoms of COVID-19. Just as important, no child or staff member should attend camp if they have come into contact with anyone who has tested positive for or shown symptoms of COVID-19 in the 14 days prior to attending camp. We will check every staff member’s temperature and record it every day on arrival.

  • 10. Socially Distanced Lunches & Snack Shack

Every "bubble" group will have its own designated lunch area so no groups will mix during lunch times. If needed, we will also stagger lunch times. Every group will wash their hands/hand sanitize before and after lunch, and record it on the staff members check list. In addition to this, we will be providing snacks and drinks for purchase, and each group will have their Snack Shack in their designated area which only their group will use. However, we do strongly advise parents to provide their child with extra snacks/drinks.

  • 11. Morning Briefing

Each morning our staff will give a briefing, reminding children of the rules, re-iterating the "catch it, bin it, kill it" mantra and the importance of washing hands/hand sanitizing.

  • 12: Communication & Updates

The situation and guidance is ever changing. We will of course maintain excellent communication with our parents and staff members and update everyone of any changes to our policies. We have worked closely with our venues to ensure that our COVID-19 Policy meets all the requirements of the Department for Education and Public Health England. While our priority of keeping all the children at Cascade Camps safe hasn’t changed, the way we will go about it will be a bit different.

  • 13: Arriving To And From Cascade Camps

Along with the guidelines and procedures above, the government has advised parents and children on the risks of using public transport to attend holiday camps. Whenever it is possible, we ask that you ride a bike or walk rather than using the underground or bus. While we understand that for some this is impossible, we simply ask that you do take safety precautions as noted by the government such as wearing face masks and socially distancing.

Please contact our Head Office Team at info@cascadecamps.com if you have any questions regarding our COVID-19 safety measures or anything else – we are always happy to hear from you and help answer any questions!

Covid 19 FAQs

  • If I cancel, can I get a refund?

Yes, and we can also offer you credit if you must cancel last minute due to a Covid-19 related cause, which you can use at a later date at one of our venues.

  • What if I book now, but later you are closed the week I have booked?

If we cannot operate for some reason for a week in which you book, we will be in touch to look at moving your booking to a later date, offering you credit or giving you a refund.

  • What if someone within my child’s bubble group starts showing symptoms?

See our Isolation Protocols below. Every parent and carer of every child in the "bubble" will be notified immediately and will be required to collect their children from camp at the earliest possible time, within reason. While the children are waiting to be collected, they will be subject to our Isolation Protocols. You, and every child in your household, will then be required to adhere to the self-isolation/testing protocols that the UK government has set out. Every child in the "Bubble" group will then be required to meet the government guidance on self-isolation and testing before returning to camp. Once all guidance is met, we will happily welcome your child back to camp. We will be in constant communication and guide you through this process as needed. Any days missed can be rescheduled for a later date and you will have the option of receiving a credit or receiving a refund.

  • What are the isolation protocols at Cascade Camps?

If a child or staff member on camp starts showing symptoms of COVID-19, the entire "bubble" group which they are in will be required to isolate until they can be collected from camp by parents or carers. Parents and carers of every child in the "bubble" will be notified immediately and will be required to collect their children from camp at the earliest possible time, within reason.

The "bubble" group will be isolated in a dedicated area on camp and the individual who showed symptoms will be isolated separately. We will dedicate areas outside where at all possible for isolation, however, we will also have indoor spaces available for isolation, all of which are well ventilated. Our staff will monitor isolated children and groups the entire time until parents/carers arrive.

The entire "bubble" group will then be required to meet the government guidance on self-isolation and testing before returning to camp. We will be in touch and guide you through this process as needed. If a child in the isolated "bubble" group has siblings at camp, the siblings will also need to meet the government guidance before returning to camp.

Staff members will also be required to meet the government guidance before returning to camp. Anyone that shows symptoms will be eligible for a test and we would encourage everyone to get a test as quickly as possible. If you develop systems, please book a test online, or call 119. Once we receive a negative test confirmation from you, your child can return to camp as normal.

The other children on camp and all the other "bubble" groups will carry as normal, avoiding the areas that the isolated "bubble" group used. Once our staff has thoroughly cleaned the area and disinfected all of the surfaces and materials, we will re-open those activity areas. Cascade Camps will carry out a thorough cleaning of the entire camp as soon as camp finishes for the day so we can ensure everything is ready to go the following day.

Information For Parents

  • Bookings

For assistance with any issues regarding bookings, please contact our head office at bookings@cascadecamps.com. You will be emailed a confirmation once your booking is confirmed. It is the responsibility of the person making the booking to ensure all details, locations, dates and activity programs are correct. If there has been an error, please contact us as soon as possible and we will do everything we can to assist with any changes that need to be made.

  • Camp Times

The normal day runs from 9:30am until 4:00pm. We open for sign in and registration at 9am and sign out/collection runs from 4:00 to 4:30pm. Extended day options are available from 8am up until 6pm. Please see below for more information on extended days.

  • Extended Days | Early Birds Club and After Camp Club

Each day, parents will have the option of booking onto the Early Birds Club or After Camp Clubs to supplement their child’s day at camp. We understand that childcare needs can vary from day to day so feel free to book for Early Birds Club one day or After Camp Club for another, as and when you need.

Early Birds Club begins at 8am and runs until 9am. The cost is £3/child for each session. Children in Early Birds Club will be led by one of our awesome staff members who will do different activities with the children each day in separate area, then bring the children to join with the rest of their group at 9am.

After Camp Club runs from when camp finishes at 4:00 until 6pm. The cost is £5/child per session. Children in After Camp Club will have one extra session on one of our awesome activities like a giant inflatable or zorbs as well as have a more relaxed session where they can play games or do other activities. The children will also have an opportunity to go to the Snack Shack if they would like, however, it might be nice to pack an extra snack if you have booked your child in for an extended day.

Although After Camp Club runs until 6pm, you can always collect your child anytime you like before 6pm. Remember, morning registration begins at 9am and end of day pick up runs from 4:00 -4:30pm so if you can drop off at 9am or pick up by 4:30pm there is no need to book into our extended day options.

We ask parents to ensure they are able to collect children by 6pm if they are booked into After Camp Club. Failure to do so may result in extra costs.

  • What To Wear And Bring

Children should wear comfortable clothing that they don’t mind getting dirty. Children should always bring a bag with an extra change of clothes in it just in case we play water games (very likely on hot days!) or it is colder than expected. We do have activities like water fight mania on the timetable some days (subject to warm weather) so even if there is no swimming at a venue, children may still get wet.

Children should always bring their own lunch and snacks, a water bottle and comfortable trainers. The day is very active, so please do not wear flip-flops, ugg boots, pumps and so on. If you would like, you can also pack some Snack Shack money with your child as well. We suggest from £0.50 to £1 each day.

Remember to dress for the weather! In cold weather please wear or bring lots of warm clothing and a rain jacket. In sunny weather, please wear or bring a sun hat and apply lots of sun cream before arriving to camp. While we may have sun cream available for a top up, we advise you to bring your own extra sun cream on really hot and sunny days.

Please ensure you clearly label all clothing, water bottles and belongings so if anything is lost, we can try to return it to you.

  • Lunch & Snack Shack

All children should bring a packed lunch containing non-perishable foods and a full water bottle. We will have a break during the day as well as lunch, so children can rest and replenish and enjoy all of the awesome activities. We advise that you put a cold pack in your child’s lunch box as we have no refrigerators on site.

We have children on our camps with various allergies, so we kindly ask parents to not pack nuts or foods that contain nuts into their child's lunches or snacks.

There is a Snack Shack on all venues which is available for everyone except the Cascade cubs. Cubs will be provided with drinks and snacks (apple slices or carrots) during break times.

If you prefer not to send your child to camp with money, we suggest packing extra snacks in their lunch box, especially if they are staying for After Camp Club.

Remember, if you child has any dietary requirements or allergies or follows a special diet such as gluten free, Kosher, etc. we suggest packing your own snacks from home. The Snack Shack may have some options available, however, the children will need to be able to make safe choices when buying items from the Snack Shack as the staff member running the Snack Shack may not be aware of their dietary needs.

  • Collection/Sign Out

Upon booking, you will be asked to set a "safe word". This word or short phrase will be used every day when collecting your child/children from camp. You will be asked on collection for your child’s "safe word" and once given, we will be able to hand over your child. Each morning our staff will ask you who will be collecting your child/children that day. If it is not you (or the designated person dropping off) we will need to be given a name of who will collect. When that person arrives, they must show us photo identification and tell us the "safe word.

If you would like your child to leave or arrive to camp by themselves, we will require written authorization prior to attendance.

If you need to collect your child early, please make arrangements in writing with our Head Office.

  • Emergency Contact/Medical Information

Cascade Camps requires all parents/carers to complete an Emergency Contact and Medical Information Form, which details any medical conditions, allergies or special needs each child has before they attend camp. This form will be emailed to you at the time of booking and can be completed online.

  • Medication

If your child needs any medication administered by our staff, the parent/carer must fill in a Medication Administration Form, which can be e-mailed to you prior to camp. We will also have copies at each venue just in case there is a last-minute change in circumstances. Please ask at registration and speak to the Site Manager.

All medication, including inhalers and epi-pens (adrenaline auto-injectors) must be given to our staff at registration along with a completed Medication Administration Form. They must be clearly labelled with the child’s name and they must be in date.

  • Activities

From the moment your children arrive in the morning until the last child leaves, every day at Cascade Camps is packed with excitement, fun and adventure.

From super energetic activities, to the more relaxing or creative activities, to traditional sports and games, always mixed with our own unique activities; every child will take part in a range of activities each day, depending on their program. Our philosophy when it comes to activities is to ensure every session is bursting with energy and fun, and to engage the children for the entire session.

We also want children to be able to try things they wouldn’t normally get to do, learn some new skills in the process and go home happy after each day. Remember, you can see what your child will be doing each day, and for the entire week, by viewing the Cascade Camps Activity Board in the registration area when you are registering/signing your child in for the day. There is never an extra cost for any activity on our Multi-Activity camps, so every child will be able to enjoy a range of activities each day.

  • Football

Football will be outdoors, rain or shine, unless there is severe weather. We encourage you to pack a light rain jacket and a change of clothes, just in case. Children should bring both trainers and boots so that if we do move inside, everyone is prepared. Additionally, boots can get uncomfortable if worn for a full day, so children may want to change at lunch. Children should wear their own shin guards and bring a packed lunch, a full water bottle and snacks or some money for the Snack Shack. Remember to clearly label all belongings.

  • Lost Property

Lost property is collected every day and brought to the registration area to be collected during registration or collection/sign out. If you cannot find what you are looking for, leave a description with our staff and we will look out for the item.

  • Cascade Cubs

Cascade Cubs will follow the same registration and collection/sign out procedures as the other activities. Please see the "Collection/Sign Out" section above.

We advise parents/carers to dress their children in clothing that they do not mind getting dirty. We will provide aprons for messy play and painting however, it’s always a good idea to pack extra clothes!

You will need to bring a packed lunch for your child, however snacks (apples and biscuits) and drinks (water) will be provided during break times. If you do not want your child to have the snacks we provide, we suggest packing extra snacks in your child’s lunch box. We ask that you please fill in the "About Me" form prior to camp so our staff can welcome your child on the first day. Having a bit more information about your child helps our staff to communicate a bit more with them on arrival. You can find the "About Me" form when you are making your booking.

  • Cancellations

For information on cancellations please get in touch or read through our Covid 19 safety measures and FAQs. You can also find all of our Terms and Conditions here.

Anyone can attend Cascade Camps. We believe all children should be given the opportunity to go to camp and experience all the excitement and memories that camp offers.

We accept children from 3 years of age. If your child has additional needs, please get in touch with our Head Office so we can discuss in more detail.

All children should wear comfortable clothes which they can be active in and that they don’t mind getting a bit dirty. Children should wear trainers and not flip flops, sandals, uggs boots, heels or similar.

All children should bring a change of clothes to get wet in, as if the weather is nice we will play water games like water fight mania and if the weather is wet, they may need a dry outfit. Please remember to dress for the weather and when it is hot, wear sun cream and when cold/wet wear a rain jacket. Please remember to clearly label all of your children’s belongings.

Children should bring a water bottle and packed lunch with non-perishable items. Please note, we have children on our camps with various allergies, so we kindly ask parents to not pack nuts or foods that contain nuts into their child's lunches or snacks. It is always a good idea to pack a cold pack in your child’s lunch, so items remain fresh until the afternoon break.

Yes! We always have at least one Qualified First Aider on site and depending on the number of children at camp, we often have more.

  • Can my child carry an Epi-pen at camp?

Yes, of course. If your child carries an Epi-Pen with them, you must inform us prior to your child attending camp. The Epi-Pen must be clearly labelled with the child’s name. Many of our staff are trained in how to administer an Epi-Pen but it is vital that we are aware prior to attendance.

Collection/sign out runs from 4:00pm to 4:30pm and as long as you collect your child by 4:30pm, it is absolutely no problem.

  • What happens if we are late to camp and don’t see the staff registration?

If you are running late, please call our Head Office as soon as possible so we can let the staff on site know and so they can look out for you. When you arrive, there will be a sign on the entrance which has a phone number to call. If you let the person on the other end of the phone know you are at the entrance someone will come meet you to sign you in.

It is important you call us if you are running late as at some venues we operate a waiting list and we will fill the spot after 30 minutes if we do not hear from you.

  • Can someone else collect my child from camp?

Yes. When you drop off your child in the morning, you must let us know the name of the person who will be collecting your child. If it is not you, the person collecting your child MUST know the safe word that you have set during the booking/registration process and MUST also show photo ID.

Please note, if the person collecting you child does have photo ID and/or does not know the safe word, we will not be able to hand the child over to that person.

  • Can I ensure my child is in the same group as their friend?

If you would like your child to be in the same group as another child, please let us know when booking and we can usually accommodate, depending on availability and ages. Please note that due to COVID-19, we are operating with very strict "bubble" groups and therefore may not be able to accommodate all requests.

  • What do you do if it rains?

We will make every effort to stay outdoors and run the day as normal, providing it is safe. However, in cases of extreme weather, all of our venues have excellent indoor facilities.

We advise all parents/carers to pack a rain jacket and dry clothes on days when rain is likely.

  • What happens if my child loses something at camp?

We remind all parents/carers to clearly label all belongings and to not pack any valuable items for their children. Lost property is collected every day and brought to the registration area to be collected during registration or collection/sign out. • Can children choose their activities?

Early Years Children follow a structured timetable based on staff and parent feedback and created in line with the areas of learning outlined in Ofsted's EYFS framework. We allow for plenty of child led activity sessions and free play mixed with some more structured sessions.

Children aged 5+ years, follow a structed timetable each day in which we carefully plan the activities to offer a mix of games, sports and activities. Children aged 5-7 will also have arts and crafts mixed into their activity program as well as a more relaxing activity such as mini archery. For all age groups there is a new timetable each day!

Don’t forget, you can see all the activities for the day and week on the Cascade Camps Activity Board located the registration desk.

  • Are there any extra costs for activities?

No. At Cascade Camps all activities are included in the price you pay at booking.

There is a Snack Shack at each venue where children can buy treats or snacks at break times. We suggest sending 50p or £1 with your child each day so they can go to the Snack Shack.
